Intralox, LLC, is seeking a Project Manager of Special Events to support North American events including large scale customer events, Facility Openings, Customer Advisory Boards, Intralox Global Sales Meeting, Anniversary Events, and other special events hosted by Intralox on campus and off-site.

Seeking a highly motivated Project Manager with high energy, a great attitude and the ability to work in a structured driven program.  The qualified individual would be responsible for a variety of planning and organization of corporate events, with responsibility to lead and manage a program from beginning to end including the creative, technical and logistical elements. This includes event design, logistics, budgeting, negotiation, vendor management, and staff collaboration.


Responsibilities

  • Strategize, conceptualize, develop, promote and execute a successful event experience, includes budgeting, scheduling, site selection, acquiring necessary permits, coordinating transportation and parking, arranging for speakers or entertainers, arranging decor, event security, catering and emergency plans.
  • Establish relationships with vendors, suppliers, distributors and hotels
  • Manage and develop event budgets to ensure that the cost of the event remains under the pre-determined budget.
  • Facilitate communication with professionals, including venue management, booth designers, caterers, contractors and equipment rentals.
  • Coordinate roles and responsibilities of internal staff and hired vendors for each event
  • Skilled at internal persuasion and decision making, and in collaborating with third party vendors and partners in RFP response, budgeting and management.
  • Manage on-site teams, coordinate schedules and ensure follow through of all event deliverables.
  • Work with Intralox Marketing and external resources to ensure creative for each project is aligned with the event strategy as well as within brand guidelines.
  • Foster a strong relationship with commercial team members to ensure alignment and commercial integration.  
  • Develop stakeholder briefs pre- and post- event to communicate progress and results.
  • Facilitate internal communication to ensure all stakeholders are consistently informed of event customer communication and relevant event updates

Qualifications

  • Bachelor degree from an accredited university.
  • Minimum of 5 years of experience running large scale events and conferences
  • Ability to travel up to 25%
  • Must be able to lead multiple events simultaneously under pressure Must be organized, detail oriented and able to prioritize simultaneous tasks in a fast-paced environment, work effectively and efficiently to support and maintain good relationships with internal departments, clients and suppliers.
  • Must be able to present concepts and budgets at a senior level to secure approvals and agreements.

  • Strong verbal and written communication and presentations skills
  • Incredible anticipation skills
  • Ability to assist in conflict/problem solving internally and with suppliers /stakeholders
  • Knowledgeable in Microsoft software including Word, Excel, Outlook and PowerPoint
