  • The Project Assistant will provide high level administrative support to the Operations Manager and Repair and Operations Team, including assistance with sourcing, file, contract and database management, SharePoint site, company meetings and support services. This position requires a demonstrated ability to multi-task, prioritize accordingly, work under the pressure of deadlines, and successfully navigate a fast-paced environment in a professional manner.  This position reports to the Facilities Operations Manager.
  • Provides high level administrative support to the Facilities Team for assigned tasks, including, file and database management, company meetings, support services (janitorial, courier, meeting set ups, etc), creating more efficient filing systems, and improving data processes.
  • Provides pro-active communication & assists with prioritization of requests for the Team.
  • Updates documents, posts schedules, resolves issues, and serves as point of contact for courier and meeting requests.
  • Serves as primary contact for Administrative Support Teams for meeting room supplies. Manages stock levels for Support Services supplies.
  • Researches and tracks invoice payments through Oracle, Accounting repositories, and job files.
  • Researches options and orders materials for jobs or projects, as needed.
  • Coordinates travel arrangements, as needed, including airline tickets, hotel accommodations, local transportation, passports, visas, etc.
  • Schedules & attends meetings, records notes, and arranges teleconferences, as needed.
  • Submits and sees completion for ITS requests (hardware/software purchases, trouble tickets, etc.).
  • Serves as backup for all department purchasing, including invoice coding, Oracle requisitions and Purchase Orders.
  • Serves as back up to Facilities Team members, as needed. Completes other ad-hoc duties, as assigned.
  • Works overtime or weekends, as needed.

Position Requirements:

  • An Associate’s Degree or equivalent experience.
  • At least three (3) years of experience as an Administrative, Executive or Project Assistant.
  • Previous experience working with middle & upper level management while performing tasks in strict confidentiality, handling duties & information in a discrete, professional manner.
  • Previous experience working with campus security systems preferred.
  • Previous experience in a facilities, manufacturing, services, or construction environment preferred.
  • Demonstrated ability to multi-task, prioritize, and work under deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
