The Customer Documentation Specialist works with the Equipment teams in U.S., Brazil, Europe, and Asia: Proposal and Project Management (PPM), Engineering, Controls, and Shipping.

This role aims to ensure the customer-specific documentation packages are created with accurate information, follow all legal requirements (noise emissions and declarations of incorporation), and are delivered timely to the end user upon shipment of equipment.

Compile Information from Multiple Sources
  • Create packages in Windchill to download customer-specific engineering drawings, spare parts lists, specification sheets, and other information
  • Organize drawings into a drawings package, format spare parts lists
  • Identify customer-specific information for appendices, user manual templates, declarations of incorporation, and noise emissions tables
  • Review specification sheets, drawings, and spare parts lists to compile supplemental information

Communicate with Equipment Teams and Track Projects
  • Manage, track, and maintain all project emails, including kick-off emails, shipping notifications, and user manual requests from PPMs
  • Ensure up-to-date and consistent information is included in customer-specific documentation packages. Contact teams when items are missing, incorrect, or if clarification is needed
  • Work with engineering controls team to get specific electrical and pneumatic schematics
  • Track and maintain all project information including project numbers, equipment serial numbers, equipment shipping dates, PPM names, and other relevant information

Create and Deliver Customer Documentation Package
  • Combine all relevant information into a customer-specific documentation package using Adobe Acrobat
  • Prepare supplemental information files including 3-D drawing files
  • Save files with consistent naming conventions, upload to Windchill
  • Deliver timely notifications to PPM groups that documentation is ready for customer use
  • Update documentation as needed, upon request
  • Support project management tasks as needed

  • Education and/or 3 years of experience in engineering technology, technical writing, or general project coordination
  • Proficient in Microsoft Word, Excel, Outlook, and Adobe Acrobat
  • Ability to be on-site 1-2 days per week
  • Strong organizational skills, detail oriented, and experienced managing large numbers of files
  • Strong communication skills - verbal and written
  • Self-managed and can work independently and collaboratively
  • Technically minded, with ability to communicate technical information to non-technical people
  • Passionate about providing exceptional customer value, highly dependable, continuously striving to grow, learn, and contribute to the team’s growth
  • Experience working in Windchill preferred
  • Familiarity with schematics preferred
