The Administrative Assistant will provide high level administrative support to the Machinery commercial leadership team.     • Provides high level administrative support to the Team for assigned tasks
    • Schedules meetings, Kronos timecards, and employee set-ups.
    • Coordinates travel arrangements, as needed, including airline tickets, hotel accommodations, local transportation, passports, visas, etc.
    • Schedules & attends department wide meetings, records notes, and arranges teleconferences, as needed.
    • Greets and directs visitors.
    • Provides support to the commercial marketing team as needed on large scale customer events. 
    • Organize and manage systems
    • Organize and manage shared files as needed, including account information and office data for commercial team.
    • Researches and tracks invoice payments through Oracle and Accounting repositories.
    • Submits and seeks completion for ITS requests (hardware/software purchases, trouble tickets, etc.)
    • Manage office duties
    • Prepare meeting rooms, kitchen supplies and common areas (printer, mail room, office supplies)
    • Coordinates meals as needed for departmental meetings or customer events. 
    • Completes other ad-hoc duties, as assigned and has the ability to work overtime or weekends, as needed.
    • Minimum of high school degree or equivalent
    • At least 5+ years’ experience as an Administrative, Executive or Project Assistant.
    • Advanced knowledge of Excel, Microsoft Word, and PowerPoint required
    • Previous experience working with middle & senior level management while performing tasks in strict confidentiality, handling duties & information in a discrete, professional manner
    • Critical thinking and problem-solving skills required
    • Highly proactive and self-managed
